How to Reconcile Allē Loyalty Program Transactions: Complete Guide

Allē is a powerful patient loyalty program that drives repeat visits and increases average transaction value. But for many med spa operators, it's also a reconciliation nightmare. Patients redeem points, your POS records a discount, and then weeks later a deposit from AbbVie shows up in your bank account. The two never seem to match.

In this guide, we'll walk you through how Allē payments actually flow, where reconciliation typically breaks down, and how to build a reliable tracking system.

How Allē Works: The Financial Flow

Understanding the cash flow is the foundation of clean Allē reconciliation.

The Patient Side. A patient opens the Allē app, earns points through purchases and referrals, and then redeems those points at your clinic as a discount at checkout. From the patient's perspective, they've just gotten a discount.

The Clinic Side. Your POS records the redemption as a payment tender (similar to a gift card). The patient's out-of-pocket amount is reduced by the points value. You've delivered the service at full price, but the patient has paid less.

The Reimbursement. Here's the key: AbbVie reimburses you for that discount. The reimbursement arrives 7–14 days later as a bank deposit. This is real cash, not a discount code or account credit. Allē points never cost you out of pocket—AbbVie covers the cost.

So from a cash flow standpoint: Patient redeems → You deliver service → AbbVie reimburses → Cash lands in your bank.

The Allē Reconciliation Problem

Batch Payouts Bundle Multiple Redemptions. AbbVie doesn't reimburse you for each Allē redemption individually. Instead, they batch them. How Ghost Redemptions Happen. There are several common culprits: staff turnover and new team members not familiar with the Allē claims process, portal login issues that prevent someone from accessing the AbbVie claims system, missed deadlines because no one is tracking the expiration window, or data export errors between your POS and AbbVie's backend.
